How to Format a Thesis Table of Contents in Word
A thesis table of contents is much easier to keep accurate when it is generated from a stable heading hierarchy instead of typed line by line. The exact levels, spacing, capitalization, and placement still need to follow your current university instructions.
1. Fix the heading hierarchy before building the TOC
Apply the Word heading styles that represent your real document hierarchy before inserting the table of contents. An automatic TOC is built from headings, so inconsistent or manually formatted headings can create missing or unwanted entries.
Check chapter titles and lower-level headings against the levels your institution expects to appear in the table of contents.
2. Insert an automatic table of contents
Place the cursor where the table of contents belongs and use References > Table of Contents to insert an automatic TOC.
Avoid typing the page numbers by hand. An automatic TOC can be refreshed after the document changes, while a manually typed list can silently become outdated.
3. Choose the heading levels your handbook requires
Use the custom table-of-contents settings to control how many heading levels are displayed.
Do not assume every heading level belongs in the TOC. Current graduate-school rules differ: some require all major headings while others limit the table to chapter and first-level headings. Your own institution’s current handbook should decide the scope.
4. Format the TOC through its styles and settings

After correcting the source heading, update the entire TOC. Editing the TOC entry directly treats the symptom instead of fixing the document structure that generated it.
6. Update the entire table after layout changes
When headings, pagination, figures, margins, or spacing have changed, choose Update Table and update the entire table so both heading text and page numbers are refreshed.
If only page positions changed and the heading text is already correct, Word also provides an option to update page numbers only. For a thesis near submission, an entire-table update is the safer final check.
7. Inspect alignment and page references after the final update
Check that page numbers are aligned consistently, leader characters match the required style, long headings wrap cleanly, and every TOC entry points to the correct page.
Then compare the finished table with the current institutional checklist. A technically correct automatic TOC can still use the wrong number of levels or presentation for a particular graduate school.
